Sakina Trading takes your privacy seriously. In this statement we explain which personal data we process, why, on which legal basis, how long we keep it and which rights you have. We process personal data in accordance with the General Data Protection Regulation (GDPR) and Belgian legislation.

1. Who is responsible?

2. Which data do we process?

Contact and quotation data that you provide yourself: name, e-mail, telephone, company, message.
Technical data: IP address, device/browser and visitor figures via Google Analytics (without your consent, only anonymous signals without cookies; see the cookie policy).
Cookies: see our cookie policy.
Customer account requests via our form: whether you are a business or a private customer, name, telephone, e-mail (optional), town, how we may contact you and your remark; for businesses also the business name, company number and type of business. We check the company number in the European Commission’s VAT database (VIES).
Origin of a customer account request: the page from which you sent the form, the site you came from (without search terms) and any campaign codes from the link (utm, gclid). If you accepted statistics, also the first page of your visit.

3. For which purposes and on which legal basis?

Answering your question or quotation request and performing the agreement — performance of the agreement / pre-contractual steps.
Handling your customer account request and creating your webshop account — pre-contractual steps.
Keeping the website working and secure — legitimate interest.
Finding out through which channel a customer account request reached us (e.g. Google, an advertisement or another website) — legitimate interest; the first page of your visit only with your consent.
Statistics cookies (Google Analytics) and marketing — only with your consent (which can be withdrawn).
Legal obligations (e.g. accounting) — legal obligation.

4. How long do we keep your data?

No longer than necessary: contact and quotation data for up to 24 months after the last contact; order and invoice data for as long as legally required. Accounting data is kept for the statutory period (in Belgium generally 7 years). Customer account requests via the form are deleted automatically after 12 months; once you are a customer, your details are kept in the webshop. The origin of a request is kept together with the request. Measurement data stays in Google Analytics for 14 months.

5. With whom do we share data?

Only with processors that help us deliver the service (e.g. hosting, e-mail, statistics): Netlify (hosting, including the proof of your cookie choice and of customer account requests), Resend (sending the e-mail with your request to Sakina Trading) Monadem (webshop platform, sakina-webstore.monadem.io) and Google (visitor figures via Google Analytics, loaded through Google Tag Manager; see the cookie policy). We have concluded data processing agreements with Netlify, Resend and Monadem; for Google, Google’s data processing terms apply. If you send us a message via WhatsApp yourself (e.g. with the button next to the request form), it goes through WhatsApp (Meta) and their terms also apply; we only use your message to reply to you and create your account. We never sell your data.

If you load the Google Maps map in the contact section — which only happens after your consent — Google receives technical data such as your IP address and processes it under its own privacy policy. Fonts and images on this site are loaded from our own server, without passing any data to third parties.

6. Transfers outside the EU

We try to keep data within the EEA. If a transfer to a third country does take place, it is done with appropriate safeguards (e.g. the European Commission's standard contractual clauses). Google may process Google Analytics data in the United States, under the EU-US Data Privacy Framework.

7. Your rights

You have the right of access, rectification, erasure, restriction, objection and portability, and you can withdraw any consent you have given. To do so, e-mail info@sakinatrading.be. We respond within 30 days.

8. Security

We take appropriate technical and organisational measures (including HTTPS and access restrictions) to protect your data.

9. Complaints

Not satisfied? You can lodge a complaint with the Belgian Data Protection Authority (Drukpersstraat 35, 1000 Brussel — gegevensbeschermingsautoriteit.be).

10. Changes

We may amend this statement. The latest version is always available on this page, with the date at the top.
